Role Title: Volunteer Coordinator

Location: In field (Samos, Greece)

Reporting to: Team Lead / CEO

Hours: 36-40 hours a week / 5.5 days a week 

Salary: £600 stipend and accommodation

Duration: Minimum 6 months, Maximum 1 year

PURPOSE OF THE ROLE

The purpose of your role will be to manage elements of volunteering on behalf of the organisation for which you are recruiting volunteers. You will be assessing and meeting an organisation’s needs through the recruitment, placement and retention of volunteers. You will be managing volunteers and their communication with projects we match them with.

As a volunteer coordinator based in the field, you will be expected to hit the ground to recruit and coordinate independent volunteers looking to come out and support the refugee crisis in Greece, Serbia, Bosnia, France and Lebanon. You will be working closely with the project coordinator, and when the number of applications are high you will be supporting them to match and connect volunteers with the 45 plus projects we support, based on the volunteers skills and location. You will be working closely with the project coordinator to match volunteers with projects based on their skills and location.

You will be expected to be an ambassador for Indigo, promoting a happy, healthy and helpful volunteer experience for all. You will need to have a good understanding of the refugee crisis in this area and be able to signpost volunteers to key information and organisations.

RESPONSIBILITIES

As a volunteer coordinator, you will need to:

All year/ Summer:

  • Manage main inbox and respond in a timely manner, divide inbox into relevant folders 
  • Review and assess incoming applications, enquire about visas, answer any relevant questions, ensure the application form has sufficient and relevant information
  • Offer advice and information to volunteers 
  • Manage ad hoc volunteer requests and partnerships, e.g. groups 
  • Consult with projects sharing key documents with them to help raise the standards of professionalism and volunteer placements
  • Offer support to coordinators regarding welfare and signpost appropriately 
  • Actively collect and review volunteer feedback form and implement relevant points 
  • Seek and share opportunities and resources available to the projects regarding scope of work, welfare, capacity building, resources etc 
  • Build and maintain relationships with the grassroots project and the wider volunteer community by organising social/welfare events
  • Actively promote and facilitate collaboration by making connections within the network when appropriate
  • Help to facilitate and take minutes at any relevant meetings and/or co-working session
  • Meet with projects where possible to establish good working relationship
  • Create and provide weekly social media content relevant to the Refugee and Migrant Projects for all channels with special focus on Instagram stories (e.g. Q&A, Instagram Takeover)
  • Write monthly report for Help Refugees, including collecting volunteer stories and project testimonials 
  • Attend any relevant meetings (e.g. Samos Coordination Meetings)
  • Conduct the end of month review of volunteers who have been connected to projects
  • Support Project Coordinator in her/his role if need be, such as connecting volunteers to projects to establish a potential placement in addition to managing the in conversation list

Winter:

  • Support project coordinator in seeking new projects and completing project assessment process with them
  • Update and review Refugee and Migrant related content on the Indigo website 
  • Support team in volunteer recruitment drives
  • Build and maintain relationships with the grassroots project coordinators and the wider volunteer community by organising networking and social events
  • Work towards completing project assessment process with already supported projects who have not undergone the assessment yet 

REQUIREMENTS

  • Driving License 
  • Previous volunteering experience overseas
  • Able to remain in Greece for longer than three months at one time (if you are unsure on this ask the team) 
  • Able to provide two reference

  • Create a continuous flow of volunteer applications (WINTER)
  • Support project coordinator in initially assessing and onboarding  new projects (WINTER)
  • Develop and maintain positive relationships with projects (ALL YEAR)
  • Actively explore ways to develop support of projects & volunteers (WINTER)
  • Providing social media with appropriate content (ALL YEAR) 
  • Hold social events for coordinators and long-term volunteers (WINTER)

RESULTS REQUIRED 

Goals individually set with Refugee and Migrant Team 

– Support 50 Independent projects
– Place 1000 Independent volunteers
